Getting started

From an empty workspace to your first shared folder.

Two short paths: the person who sets the workspace up, and the people who join it. Nothing to install — the whole product runs in the browser.

  • About 15 minutes for setup
  • No software to install
  • Administrators never see file content

Who does what

Two roles, one rule: nobody holds both.

A workspace has people who shape the structure and people who work in it. The split is enforced by the product, not by a written policy.

Administrator

Sets the workspace up: creates departments, invites colleagues, decides who gets which folder — and pays for the plan.

  • Create, rename and delete folders
  • Invite members and grant folder access
  • See seats, storage and the activity trail
  • Manage the plan and payment method (billing owner)
  • Cannot list, preview or download files

Member

Works inside the folders they were granted. The sidebar shows those folders and the parents needed to reach them — nothing else.

  • Upload files, and rename, move or delete them (editor and above)
  • Preview images and PDFs, and download files
  • Download a whole folder as a file tree (Chromium browsers)
  • Cannot see folders that were not granted
  • Cannot change the plan or billing details

The rule: content access is never granted to an administrator. If someone needs to open files, they join as a member — administrator accounts stay for structure and seat management.

Path 1 — Workspace owner

Set up the workspace

Steps 1–3 get the workspace live. Steps 4–6 turn it into something a department can actually use. You never need to repeat this for a new colleague — that is the member path at the end.

01
Step 1 · about 2 minutes

Create the workspace

Open Create a workspace and fill in four fields: company name, your name, a work email and a password of at least eight characters. Pick the plan you intend to buy here — the choice carries through to the payment page. Both consent boxes are required before the button enables.

  • The person who registers becomes the workspace administrator and billing owner.
  • The company name becomes the workspace name in the app header.
  • DPA and Terms acceptance are recorded with a version and timestamp.
i Nothing is charged on this screen. Submitting creates the workspace and takes you straight to card payment.
The registration form: workspace details, plan choice and the two required consents.
02
Step 2 · about 2 minutes

Pay for the plan

Complete card payment on the secure checkout page. The workspace already exists at this point but stays locked: storage and seats are written only after the first successful payment. Until then the app shows a payment-pending notice instead of your folders.

  • Starter £9 — 20 GB, up to 20 people
  • Business £19 — 50 GB, up to 100 people
  • Enterprise £49 — 200 GB, up to 500 people
  • Only the billing owner can change plan, open the billing portal or cancel
! Closed the tab mid-checkout? Sign in again and finish from Billing — the workspace waits instead of disappearing.
The plan summary and card fields on checkout; the workspace status stays “pending payment” until the payment succeeds.
03
Step 3 · about 1 minute

Verify the email address

We email a verification link to the address you registered with. Open it within 24 hours. Until the address is verified the workspace stays locked even when the payment already succeeded — the screen offers a resend, and only the newest link works.

  • The link expires after 24 hours
  • Resending replaces the previous link
  • Invited members skip this step: the invited address counts as verified
i Check the spam folder first. If the message is still missing, ask your operator to confirm outbound mail rather than re-registering the workspace.
The verification screen. Resend issues a new link and invalidates the old one.
04
Step 4 · about 3 minutes

Build the department tree

Go to Drive and create one top-level folder per department, then nest the folders that belong inside them. Access is attached to folders and inherited downwards, so decide the shape before you grant anything — a folder moved later takes its inherited access with it.

  • New folder creates a folder inside the folder you are viewing
  • Deleting a folder also deletes everything inside it
  • Members always see the parent path of a granted folder — for navigation only
i A simple tree that maps to how the team already works beats a deep one: Departments → Projects → Year, three levels is usually enough.
Drive as an administrator: the full tree and folder tools, with the file area showing “Files are hidden”.
05
Step 5 · about 5 minutes

Invite people, then grant folders

Invitations and folder access are two separate actions. First add the people on Members, then decide what each of them can open in Drive.

In the invitation dialog, enter a work email and choose Member or Administrator. The invitation is a single-use link that expires after seven days. If the email cannot be delivered, the dialog shows the link so you can pass it on yourself.

Then open the department folder, choose Manage access, pick a person and a role, and grant. The grant covers that folder and every subfolder beneath it.

  • Viewer — read, preview and download
  • Editor — also upload, rename, move and delete files
  • Manager — also create subfolders and grant access in that subtree
i Administrators are never granted content access, by design. Invite the colleague as a member if they need to open files.
Two dialogs, two jobs: the invitation adds a person; the access dialog decides what that person can open.
06
Step 6 · ongoing

Watch seats, storage and activity

Members is the workspace dashboard: storage used against the plan, active and pending seats, the number of folders and any invitation still waiting to be accepted. The activity list records grants, invitations and folder changes, so you can see who changed access and when.

  • At 80% storage a warning appears on this page
  • At 100% new uploads stop; existing files stay available to download
  • Disabling a member signs them out immediately
! File events never appear in this trail — the audit log shows permission and folder activity, not file names.
The Members dashboard: storage and seats at the top, invitations and roles below.
Path 2 — Invited member

Join and start working

Everything here takes a couple of minutes. You never choose a plan, and you never see billing.

01
Step 1 · about 30 seconds

Open the invitation

The invitation arrives as an email with a single-use link. Open it and the app shows the workspace name and the role you were invited as. The link expires after seven days — ask your administrator for a new one if it has.

  • One link, one account: it cannot be reused
  • Check spam if the message is not in your inbox
  • Your administrator can copy the link from Pending invitations
The invitation email. The button opens the join screen with your address already filled in.
02
Step 2 · about 1 minute

Set your name and password

Your email address is already filled in and locked. Add your name, choose a password of at least eight characters, and select Join workspace. You are signed in immediately — there is no separate email verification, because the invitation was delivered to this address.

  • Use a password you do not reuse elsewhere
  • Ask for a new invitation if the link has expired
  • Later sign-ins use the same email and password
The join screen: the invited address is read-only, so you cannot join with a different email.
03
Step 3 · ongoing

Work in the folders you were given

Your sidebar shows only the folders you were granted, plus the parent folders needed to reach them. A parent you cannot read is marked Navigation only: click through it, but its files stay hidden.

  • Drag files onto the folder, or use Upload files
  • Large files upload in parts and show “Processing…” until the copy finishes
  • Preview images and PDFs in the browser; downloads use short-lived links
  • Download folder writes the tree to a location you choose (Chrome or Edge)
  • An interrupted upload resumes after a refresh — select the same file again
A member's drive: one granted folder, its parent marked “nav only”, and the file actions that are actually available.

If something stalls

Common setup questions.

Still stuck? Use the contact form and include the workspace name and the email address you signed up with.

The verification email never arrived.

Sign in and choose Resend verification email on the verification screen. Check spam first. Only the newest link works, and every link expires after 24 hours.

The invitation email never arrived.

Ask the administrator to open Members and copy the link from Pending invitations, or to invite the same address again — that replaces the old link.

The workspace says payment is pending.

The workspace is created before the payment clears, so it stays locked until the first successful payment. The billing owner can finish checkout from Billing; storage and seats appear as soon as it clears.

A folder is visible but its files are hidden.

That folder is a parent shown for navigation only. Your access is somewhere below it, so open the subfolder you were granted. If it still looks wrong, ask the administrator to check your grant on that folder.

Uploads have stopped.

The workspace reached its storage limit. Uploads resume when the billing owner moves to a larger plan or files are deleted; downloads keep working in the meantime.

Can the administrator open our files?

No. Administrator accounts can list folders, members, seats and grants, but file names and contents are not returned to them — not in the app, and not in the audit log.

Can we change plan later?

Yes. The billing owner can switch at any time: an upgrade applies immediately, while a downgrade is refused until current storage use and seat count fit the smaller plan.

Ready when you are

Set up the workspace, then invite the first department.
